The few changes we’re making are designed to give you more control and flexibility to manage your costs without compromising your and your family’s well-being.

In 2026, we’re enhancing our benefits to better support and empower you through: 

  • Keeping payroll deductions consistent for the sixth year in a row, so you can continue accessing the care you need at an affordable cost.
  • Expanding our medical coverage to better support working spouses and domestic partners, reflecting our ongoing commitment to inclusivity and family care.
  • Introducing Flex Time Off, a new Paid Time Off (PTO) policy that gives you more control over when and how you take your time off. (Note, this benefit is not available to those under a collective bargaining agreement or to those in California or U.S. territories due to state-specific and other legislative requirements.)

Annual Enrollment for your 2026 benefits begins October 27, 2025 and ends November 7, 2025. This is an important opportunity to review your current elections and consider your choices for the coming year. Who can enroll in Xerox benefits?

You are eligible to participate in the Xerox benefits program if you are a U.S. employee regularly scheduled to work at least 30 hours per week. Please note, employees who recently joined Xerox through the Lexmark acquisition will follow a separate Annual Enrollment process.

Certain temporary and part-time employees (except for certain cases in Hawaii), independent contractors, leased employees, supplemental contract workers, consultants, agents, other third-party personnel, or employees covered by a collective bargaining agreement not expressly providing for eligibility, are not eligible to be covered by the Xerox plans and programs, unless they are eligible dependents.

Your eligible dependents include:

  • Spouse or domestic partner* (regardless of gender)
  • Biological and legally adopted child(ren)
  • Domestic partner’s child(ren)* (as long as you cover your domestic partner, too)
  • Children who have been placed with you for adoption
  • Stepchildren
  • Foster children
  • Children for whom you are the court-appointed legal guardian
  • Disabled children who became disabled on or before age 26 or are covered as a result of a qualified medical child support order (QMCSO)

*You may be required to complete a Domestic Partner Declaration (Affidavit) and submit it to the Xerox Benefits Center for your domestic partner and/or your domestic partner’s eligible dependent children if you enroll them in Xerox benefit plans.

What’s New for 2026

Introducing Flex Time Off

We’re reimagining time away from work to prioritize flexibility, trust, and accountability – so that you can recharge when it works for you.

Effective January 1, 2026, you will have Flex Time Off, a new paid Time Off (PTO) policy designed to give you more control over when and how you take time off. Instead of receiving a fixed amount of time off annually, you’ll be empowered to take the time you need throughout the year, when you need it. You’re in the driver’s seat – balancing your personal well-being with your team’s priorities.

Due to the introduction of the enhanced Flex Time Off policy, the Vacation Purchase Plan will no longer be available. For full details, please refer to the information on the HR portal.

Please note: The new Flex Time Off policy applies to all U.S. non-union employees, including those who recently joined Xerox through the ITsavvy acquisition. Employees covered by a collective bargaining agreement, as well as those based in California and U.S. territories, are subject to a separate PTO policy.

Working Spouse/Domestic Partner Coverage for Medical Coverage

Supporting your family is important. That’s why, starting in 2026, you may enroll your working spouse/domestic partner as a dependent under your Xerox medical coverage (even if they have access to other coverage). This reflects our ongoing commitment to inclusivity and ensures your family has options when it comes to choosing the best benefits for their needs. As always, we encourage you to evaluate all the options available to you and your family when choosing your benefits for 2026.

Be sure to confirm the tobacco user status for yourself and any enrolled spouses or domestic partners. If you do not make an attestation or if they’re a tobacco user, you’ll pay the $1,840 annual tobacco surcharge as part of your medical rates and higher rates for any critical illness insurance you elect. To remove the tobacco surcharge, you must complete five calls with a Quit for Life coach by March 31, 2026.

Hearing Aid Coverage

The Xerox Anthem medical plans will now cover hearing aids, up to $5,000 every three years. The hearing aid benefits under the Kaiser plan may increase. The benefit varies based on plan and state. Please contact Kaiser for details.

Enhanced Supplemental Insurance

To reinforce the importance of preventive care, which is free under all Xerox medical plans when received from an in-network provider, we’re increasing your critical illness insurance wellness benefit from $50 to $100. If you enroll your spouse/domestic partner and/or dependent children, each person can get this incentive if they receive a preventive health screening – which means a family of four can receive an additional $400!

In addition, we're expanding the critical illness insurance and hospital indemnity insurance coverage:

  • Critical illness insurance coverage: Will now include additional conditions such as type 1 diabetes and childhood conditions (including cystic fibrosis, cerebral palsy, cleft lip or palate, down syndrome, PKU, spina bifida, and autism spectrum disorder)
  • Hospital indemnity insurance coverage has improved to include:
    • The daily hospital confinement limit will increase from 31 to 180 days
    • The daily ICU confinement limit will increase from 10 to 30 days

More Options for Pet and Auto & Home Insurance

As of September 1, you have the option to choose from two pet insurance plans – giving you more flexibility to enroll in the best plan for your and your furry friend’s needs. You can now elect the Accident & Illness or Accident, Illness, & Wellness plan for your dog or cat. Please note that plan options may vary by state of residence. Learn more.

And don’t forget! Earlier this year, we enhanced your auto & home insurance by:

  • Expanding access to national and regional auto & home insurance carriers – meaning you have more options when it comes to choosing the best coverage for you.
  • Giving you the option to elect Recoop disaster coverage, which provides protection in case of a natural disaster.
Contribute More to Your Tax-Advantaged Accounts

In 2026, you can contribute more to your Health Savings Account (HSA) and General Purpose and Limited Purpose Flexible Spending Accounts (FSAs).

  • HSA: You and Xerox can contribute up to $4,400 for employee only coverage and $8,750 for family coverage. Your contribution from Xerox depends on your salary, so be sure to confirm that your contribution combined with the Xerox contribution does not exceed the IRS maximum.
  • Health Care and Limited Purpose FSA: This year, you can contribute up to $3,400 to your General Purpose or Limited Purpose FSA. Remember to plan your contribution carefully; any funds left in your account at the end of the year will be forfeited.
  • Dependent Care FSA: You can contribute up to $7,500 in 2026 to your Dependent Care FSA ($3,750 if you are married and file taxes separately). If your salary is greater than $160,000, you can contribute up to $2,700. Remember to plan your contribution carefully; any funds left in your account at the end of the year will be forfeited.
  • Commuter Account (through the Commuter Benefits Program): This year, you can contribute up to $340 to your Commuter Account.
Health Advocate Will No Longer Be Offered

Starting in 2026, we will no longer offer Health Advocate due to low utilization.

The Xerox Benefits Center remains your primary resource for benefits-related support. Representatives are available to guide you to the right contacts and resources based on your specific questions.

401(k) Match

Starting January 1, 2026, Xerox's 401(k) plan company match will shift to a per-pay-period matching structure, offering employees more timely support in growing their retirement savings.

We’re Keeping Costs Affordable

Health care costs have continued to rise in recent years due to inflation, and this year is no exception. Although costs are at historic highs, Xerox remains committed to minimizing cost increases for you by investing in programs designed to help you access quality care at affordable costs. Since 2020, Xerox has either decreased or kept employee payroll deductions flat for your health care coverage.

This year, we’re proud to announce that Xerox is helping you keep more money in your pocket by continuing to absorb cost increases. Your payroll deductions will not change, assuming you remain in the same plan at the same coverage level in 2026.

Bond with Your New Child

Xerox is committed to supporting you on your parenthood journey. That’s why all employees who work at least 30 hours per week are offered up to 12 weeks of fully-paid parental leave when they welcome a new child. This includes all genders and different ways of welcoming a new child (birth, adoption, surrogacy, and legal guardianship).

Xerox offers programs to help make your prescription drugs more affordable:

  • Rx Savings Solutions provides personalized options to lower your costs on prescription drugs. You’ll receive alerts when new savings opportunities are available for your current medications – at no extra cost to you.
  • PrudentRx is a copay assistance program that allows you and eligible family members to receive certain specialty drugs at no cost to you.

You must be enrolled in a Xerox Anthem medical plan to participate.

More Ways to Save

These tools and resources can help improve your health while keeping your medical costs affordable:

  • Tax-Advantaged Accounts: Contributing to these accounts lets you save money by paying for eligible medical, dental, vision, child/elder care - and even commuting costs - using tax-free dollars. Note that certain restrictions, such as medical plan enrollment, may apply.
  • Preventive Care: If you’re enrolled in the Network Only Plan, Choice Lower Deductible Plan, or Choice Higher Deductible Plan, routine in-network preventive care is covered at 100% with no deductible.
  • Hinge Health*: Access virtual personalized physical therapy support to address acute and chronic musculoskeletal conditions such as knee, back, hip, neck, and shoulder pain at no additional cost to you.
  • Lark Diabetes Prevention Program (DPP)*: Get help making small changes that can improve your health and reduce the risk of developing diabetes over time. You can receive support to help lose weight, eat healthier, increase your activity, and manage stress – all conveniently accessible from your mobile device and at no cost to you.

What happens if I don’t take action during Annual Enrollment?

If you are currently enrolled in Xerox benefits and do not make an active election, your 2025 benefit elections (medical, dental, vision, long-term disability (LTD), Life, Accidental Death & Dismemberment (AD&D), Critical Illness, Accidental, Hospital, HSA, Legal, Identity) will carry over to 2026 with the exception of the FSA, which requires active enrollment each year, even if you are currently enrolled.

In addition, your current tobacco user status will automatically roll over into next year. If you do not have a status on file for you and your spouse/domestic partner (if applicable), you will default to tobacco user status and will pay the $1,840 annual tobacco surcharge as part of your medical rates.

If you are not currently enrolled in Xerox benefits and do not make an active election, you will have no benefits coverage for 2026, with the exception of Xerox-provided short-term disability (STD), LTD, employee basic life insurance, and access to the Employee Assistance Program (EAP).

 

Benefit Options

During Annual Enrollment, you have the opportunity to enroll in the following benefits for 2026.

Medical

The Xerox plans are designed to provide comprehensive coverage to ensure you have the protection you need wherever you are in your health care journey.

All medical coverage will be provided by Anthem (or Kaiser Permanente, where available). You will continue to have a choice of three medical plans, which offer a range of coverage options at the same cost that you currently pay. The following plans will be available through Anthem and, depending on your location, Kaiser Permanente.

  • Network Only Plan
  • Choice Lower Deductible Plan
  • Choice Higher Deductible Plan
IMPORTANT!

If you enroll in employee-only coverage for the Choice Higher Deductible Plan and your annual salary is less than $60,000, Xerox will continue to cover your monthly payroll deductions.

Hawaii, Puerto Rico, Guam, or Saipan

If you live in Hawaii, Puerto Rico, Guam, or Saipan, you may enroll in the following medical options:

If you live in one of these areas, the tobacco surcharge will not apply. However, you will still need to complete a tobacco attestation when you enroll. If you are a tobacco user, you will pay higher rates for any critical illness insurance coverage you elect.

Each plan offers both medical and prescription drug coverage. Your medical plan covers preventive care at no cost to you, as long as you use an in-network provider. For convenient care, you can also take advantage of telemedicine options.

Savings & Spending Accounts

Xerox offers you several types of accounts that help you save money by paying for health care and dependent care expenses tax-free.

The following accounts will be available in 2026:

  • HSA — Increased contribution limits for 2026: $4,400 for employee-only coverage and $8,750 if you cover dependents. You can contribute to the HSA if you enroll in the Choice Lower Deductible Plan or Choice Higher Deductible Plan.
  • Health Care FSA — Increased contribution limit for 2026:​ $3,400. You can contribute to the Health Care FSA if you enroll in the Network Only Plan or if you waive medical coverage.
  • Limited Purpose FSA — Increased contribution limit for 2026:​ $3,400. You can contribute to the Limited Purpose FSA if you enroll in the Choice Lower Deductible Plan or Choice Higher Deductible Plan.
  • Dependent Care FSA —Increased contribution limits for 2026: $7,500 or $3,750 if you are married and file taxes separately. Note that if your salary is greater than $160,000, you can contribute up to $2,700. All benefits-eligible employees can contribute to the Dependent Care FSA.

Supplemental Medical

While you can’t predict tomorrow’s unexpected events, you can get the coverage you need to prepare for them with Supplemental Insurance benefits.

While rates remain the same, you will have access to the following plans with enhancements for 2026:

  • Accident Insurance
  • Critical Illness Insurance
  • Hospital Indemnity Insurance

Dental

Xerox dental coverage gives you the flexibility to choose the best plan for you based on your needs and budget.

There are no changes for 2026. You will continue to have access to the following plans:

  • Basic Plan
  • Enhanced Plan
  • DMO Plan, depending on your location

Vision

Vision coverage saves you money on expenses such as eye exams, glasses, and contact lenses, so you can keep your vision strong and your eyes healthy.

There are no changes for 2026. You will continue to have access to the following plans:

  • VSP Basic Vision Plan
  • VSP Buy-Up Vision Plan

You also have hearing aid discounts provided by TruHearing through the Vision plan.

Life and Accidental Death & Dismemberment (AD&D) Insurance

Plan for the unexpected and protect your family’s financial security with Life and AD&D insurance.

There are no changes for 2026. You will continue to receive Employee Basic Life Insurance (up to 1x base annual earnings, rounded to the next higher $1,000, up to $300,000) at no cost to you, with no enrollment required. You can also enroll in:

  • Employee Optional Life and AD&D Insurance
  • Spouse/Domestic Partner Life and AD&D Insurance
  • Child Life and AD&D Insurance

Disability Insurance

Not being able to work because of an illness or injury can cause serious financial hardship. Disability benefits ensure your income continues during these situations.

There are no changes to company-paid STD or LTD coverage for 2026. You will receive STD and LTD insurance at no cost to you, with no enrollment required.

In addition, you may choose to enroll in buy-up LTD insurance at the same rate you currently pay. This coverage is employee-paid and requires enrollment.

Mental Well-Being

Mental health is a critical aspect of your overall well-being, and Xerox aims to support you through your mental well-being journey.

Our Employee Assistance Program (EAP) offers confidential counseling and support for mental and emotional well-being, financial and legal services, and more.

Voluntary Benefits

Xerox offers a variety of additional programs you can take advantage of that can help save you money and provide important assistance with your everyday needs:

  • Legal Services Plan — Provides a variety of fully covered legal services for your entire family. Watch this video to learn about how the Legal Services Plan can benefit you
  • Identity Theft Protection Program — Monitors your identity and credit, detects fraud, and restores your identity in the event of theft, giving you peace of mind and protection against the financial and emotional impact of identity-related crimes
  • Pet Insurance* — Provides coverage to help you cover the costs of veterinary care (please note that you can enroll in or make changes to your Pet Insurance anytime throughout the year)
  • Commuter Benefits* — Allows you to save money on monthly parking or transit costs related to your work commute
  • Auto & Home Insurance* — Provides exclusive savings on personal insurance policies, including auto, home, and renter’s insurance, as well as protection for your home in case of a natural disaster, helping you safeguard what matters most while saving money

From the homepage, click on your name in the upper-right corner and under the Personal Info tab, go to Text Messaging and select Add. Note, messaging and data rates may apply.

Your Enrollment Checklist

Use this checklist to ensure you have the coverage you want for 2026:

  • Learn about your benefit options. Explore this Digital Benefits Guide to learn more about the benefits available to you.
  • Think about your coverage needs, including how much health care you anticipate needing and whether your life and disability insurance provides enough protection. Use ALEX, your decision support tool on BenefitsWeb to compare your options.
  • Make sure all your dependents are eligible. If you're adding new dependents, be sure to submit the required verification documentation within 45 days of the addition to avoid delays or coverage issues.
  • Confirm your providers are in-network. Before selecting a medical or dental plan, check whether your current providers participate in the network. Depending on the plan you choose, you may be limited to in-network providers – and even when out-of-network options are available, you’ll typically pay less when receiving care from in-network providers. To confirm participation, visit the "Find a Doctor" section of the Digital Benefits Guide and search the Anthem network.
  • Confirm your tobacco user status. If you made no attestation, or you are a tobacco user, you’ll pay the $1,840 annual tobacco surcharge as part of your medical rates and higher rates for any critical illness insurance you elect. You can remove the tobacco surcharge by participating in the Quit For Life® program.
  • Consider your FSA and HSA contribution amount. Select an amount that will help you pay for your anticipated health care and dependent care expenses with tax-free money. Learn how these accounts save you money by clicking here.
  • Review and update your beneficiaries, if needed.
  • Complete your benefits enrollment by 11:59 p.m. ET on November 7, 2025.

You have two ways to enroll — online or by phone:

Be sure to confirm your elections and print a copy of your Confirmation Statement for your records.

Please note: After Annual Enrollment ends, you cannot change your benefit elections unless you experience a qualifying change in status, such as getting married or welcoming a child.
